Shining Stars Nursery Terms & Conditions

Our Nursery provision is run by the Governing Board of Wallace Fields Infant School & Nursery (under section 27 of the Education Act 2002). This agreement is between you as a parent and WFIS & Nursery Governing Body.

In our Nursery, we aim to provide an exceptional nursery education and care for every child through a dynamic balance of a nurturing atmosphere, together with establishing the joy of learning and the fun of being challenged as learners. Given the amazing grounds in which we are situated, we are also able to offer a unique innovative educational approach to outdoor play and learning, which gives the children freedom of exploration, whilst learning to become independent and responsible for themselves, their peers and the environment.

In order to deliver this, we believe it is key to have qualified teachers in our nursery setting who have undergone the very best early years training (to degree level), ensuring that we deliver high quality learning opportunities for each and every child. We also employ a qualified specialist music teacher who teaches the nursery children music every week. 

This shows our commitment to the very best standards we aim to achieve for all our children. Being attached to Wallace Fields Infant School, our Nursery also has many additional advantages, including school wide expertise provided by the deputy head and early years specialist, employed by the Governors to oversee the leadership and management of our nursery provision. This way we know parents can be confident that the nursery education their child receives is second to none. 

We consider these additional extras to be fundamental to us being able to offer the quality of nursery education that we passionately believe in. We hope that you will agree we are still able to offer you excellent value for money as well as the highest quality of Early Years provision. Funded entitlement:

Some of our 2 years old and all of our 3 and 4 year olds will be entitled to 15 hours funded entitlement and some 3 and 4 years olds will be entitled to 30 hours funded entitlement. The first 15 hours of funded entitlement must be used in our Little or Big Stars provision, as laid out in our Nursery prospectus. If you are entitled to the additional 15 hours funding (adding up to a total of 30 hours funding) this may be used in our Rockets Club.

Within our Nursery setting we have various provisions that can be used, as we understand the need for flexible models of nursery and wrap around care for our parents. 

Our Nursery provisions are:

A. Little Stars

Children are able to start attending this provision, in the afternoons, from the term after their second birthday, and stay in our Little Stars until the academic year before they are due to start school. In Little Stars, qualified teachers and highly skilled staff help enable children to separate happily from their parent/s, communicate effectively with adults and peers and learn lifelong lessons regarding sharing, caring and taking turns – all the fundamental skills to begin their learning journey!

B. Big Stars

Children move up to Big Stars the academic year before they start school. There are qualified teacher/s in this setting with a strong focus on ensuring every child has the education building blocks, knowledge and learning they need, in order to have a smooth transition in to their first year of school in reception.

C. Rockets

Children are only able to access Rockets if they are attending Little or Big Star Nursery sessions. Rockets runs as an all-day provision, on either side of Big Stars and Little Stars, to provide an all-day Nursery option for our children. This provision still has the same high quality of staff and is under the direction of qualified teachers; there is however, more of a home from home feeling. It is a place where the children can relax, play and continue their learning following or preceding their nursery session in Shining Stars.

D. KidsQuest

All children attending our Nursery provisions also have access to KidsQuest, which is our before and after nursery wrap around care. This enables us to offer the highest quality of care and education from 7:30 a.m. - 6:30 p.m.

Our core offer for Nursery may be subject to change, but we will always have the high quality of education at the heart of any decisions we make regarding our Nursery.

All children attending Shining Stars and/or Rockets Club are covered by Wallace Fields Infant School & Nursery Public Liability Insurance.

1. Admissions
Places at Shining Stars are offered on a first come, first serve basis and children can join our Nursery the term after they turn 2 years old. A completed online booking form must be submitted before a place can be considered. 

2. Deposit
We ask parents for a deposit of £150 to be paid with all Shining Stars booking forms and £50 to be paid with all Rockets booking forms. A deposit is required per child that attends the provision. This is a holding payment on your account, and on receipt of this payment your child’s place will be secured. Your deposit will be returned (credited) to your online Scopay account at the start of your last term in the provision. This deposit does not apply to FEET funded 2 year olds.

3. Payment of fees
All fees are assigned to your online Scopay account on a termly basis. (Autumn Term – September-December, Spring Term – January-March and Summer Term – April-July)

Payments are to be made in full within 7 days of the start of term. Alternatively payment can be made in two instalments, 50% within 7 days of the current term and 50% within 7 days of the start of the 2nd half term. Failure to pay in line with the terms and conditions will result in your child being refused admission to the provision.

3.1. Funding
Our Nursery is registered to deliver FEET funding (from 2 years old), Universal 15 hours and Extended 30 hours Free Early Education (FEE). Children are eligible for the Universal 15 hours in the term after their third birthday (e.g. a child who is 3 years old in January (Spring Term) becomes eligible for EYFE in the following April (Summer Term). Some children may also be eligible for the Extended 30 hours Early Years Free Entitlement. 
Universal funding is applied to Big or Little Stars sessions when applicable. 

If you are eligible for the Extended Funding (30 Hours), this funding can be applied to sessions in Rockets Club (wrap-around care for nursery).
Children who meet the FEET criteria (Free Early Education for 2 years olds) will not be charged for their Nursery education. 

3.2 Eligibility Code -Extended 30 Hours Funding
Parents who are eligible for the Extended Funding (30 hours) will need to provide their eligibility code the term before their child is due to claim. Every 3 months, parents will need to reconfirm their eligibility by logging in to their HMRC account.  The local authority will then recheck the eligibility code at regular intervals, to confirm that you are still eligible. If the parent is no longer eligible for the funding, a “grace period” will be given with a date that the funding will stop. From this date, parents will then be liable to pay a non-funded session price for any booked sessions. 

4. Payment Methods are:
Online – via Scopay or  Childcare Vouchers – all providers accepted

5. Late or Non Payment of Nursery fees
Wallace Fields Infant School reserves the right to charge an administration fee of £10 per correspondence due to late payment of fees. We also reserve the right to refuse attendance until any outstanding balances are paid. 6. Bookings / Confirmation
There is a minimum requirement of 3 sessions per week in Little Stars for the first term. After a child has completed one full term in Little Stars, it is mandatory they attend 5 sessions a week from thereon. However, if you are eligible for EYFE Universal (15hrs) or Extended (30hrs) Funding and/or in Big Stars it is mandatory for your child to attend 5 sessions a week. 

When booking confirmation is received, please check the details i.e. days booked are correct and notify us of any discrepancies within 3 working days. Booked sessions cannot be ‘swapped’ and refunds cannot be given for non-attendance. 

6.1. Uniform
All parents should adopt the uniform for children attending Shining Stars Nursery. For FEET Funded children the school can supply uniform.

7. Booking Cancellation
Once your booking is confirmed for Shining Stars and/or Rockets, cancellations require a minimum of 3 months’ notice given in writing to Carley Dean (, e.g. if your child is due to start in the Autumn term e.g. September 4th notice will need to be given by June 4th. Your deposit will be forfeited. 

If a cancellation is made without giving 3 months’ notice, your deposit will be forfeited and you will incur a charge of 4 weeks fees, based on a non-funded session price for sessions booked. 

7.1. Booking Amendments
In the rare instance you decide that you no longer want to start your child at the confirmed start date and wish to delay their start date, we will require a minimum of 3 months’ notice given in writing to Carley Dean (, e.g. if your child is due to start in the Autumn term e.g. September 4th notice will need to be given by June 4th. The decision to move your child’s start date will be made at the discretion of the school. If we are able to accommodate your request, your child’s start date will be moved and your deposit transferred.

We are unable to make amendments to a child’s start date outside of the 3 months’ notice period and should your child not start on the confirmed start date you will forfeit your deposit, incur a charge of one month’s fees based on a non-funded session price and will have to re-apply for a place in Shining Stars.

7.2. Absences 
In the event of your child being absent from our Nursery (Shining Stars or Rockets), we request that you contact the school office, 0208 394 0647 Ext 1, on the first day of absence, giving details for the reason and when they are expected to return. Refunds cannot be given for non-attendance. 

If your child has a hot school lunch in Rockets you will need to contact the school office, 0208 394 0647 Ext 1 no later than 10am on the day of absence, to ensure you do not get charged for a hot lunch that day. Failure to make contact before 10am will result in you being charged for a hot school lunch even though your child is absent from Nursery (Shining Stars or Rockets).

8. Late Collections
We would request that parent’s telephone to inform us if they will be unavoidably late collecting their child. If parents are late to collect children, a late collection fee will be charged per late collection. (Late collection/s are subject to a penalty charge of £5 for every 5 minutes). If, after we have made every effort to reach available contacts, a child has still not been collected by 30 minutes after the end of their session, we will follow DFE guidelines and contact Children’s Services.

9. Closure
If, due to unforeseen circumstances e.g. adverse weather conditions, it is necessary to close the provision, parents will be informed via the school website, email and social media. It will not be possible to refund fees in such situations. 

10. Lost property
Please ensure that your child does not bring valuable items to the provision and that all belongings are clearly named. We cannot be held responsible for any loss or damage to personal property.

11. Liability 
Shining Stars, Rockets Club and KidsQuest does not accept liability for loss or damage to belongings or property.

12. Exclusion/Inclusion 
Shining Stars, Rockets Club and KidsQuest operate an inclusion policy. In the event that we consider the behavior or conduct of any adult or child is having a negative impact on others we will work with those involved to rectify and resolve the issue. In the event that we feel we have exhausted all reasonable options, we will withdraw access to the school and all Early Years Provision.

13. Complaints
We are committed to providing a high quality childcare setting. We welcome ideas and suggestions, through direct discussion and questionnaires. However, if you wish to make a complaint, please, in the first instance, speak to the manager of the provision. If you do not receive a satisfactory conclusion please refer to our complaints procedure.

14. Data Protection and confidentiality
It is necessary for us to hold personal details about you and your child. This is stored both in a hard copy on file and on a computer database. This information remains confidential to Shining Stars, Rockets Club and KidsQuest and will only be shared with a third party, in the event of an emergency.
